Hucclecote Parish Council is currently recruiting for an administrative assistant to support the work of our Clerk and lead on organising events, community engagement, use of social media, grant applications and ensuring projects in our action plan are kept on track.

This is a brand-new role and an exciting opportunity to help drive forward our vision to make our parish a great place to live in.  We are looking for a talented, ‘hands-on’ all- rounder. Someone who is enthusiastic, a team player, flexible and proactive who shares our commitment to delivering the very best for our residents.

The successful candidate will have proven Administration/IT Skills and be a competent user of social media.  The role will be responsible for managing an annual programme of events, with associated publicity, health and safety and budgetary management as well as supporting the parish council Clerk in ensuring the parish council meets its statutory responsibilities.  You will be working with our friendly council team, and other stakeholders.

This is a part time position for 15 hours per week and is based at the Council Office, Pineholt Village Hall.

The rate of pay for this position is £13.97 per hour (LC1 13)

JOB DESCRIPTION

Title:                         Events and Community Engagement Lead
Salary:                      £13.97 per hour (LC1 13)
Hours:                      15hrs per week
Location:                 Council Office, Pineholt Village Hall
Responsible to:     Hucclecote Parish Council

 

OVERALL RESPONSIBILITIES
The Events and Community Engagement Lead will work with the parish Clerk and undertake the duties specified below, to ensure the effective running of the council and designated projects:

  1. To support the Clerk in the efficient running of the Council Office.
  1. To update Website, Face Book, Instagram and social media pages on a regular basis in order to promote, inform and improve community engagement.
  1. To organise, promote and advertise events for parishioners.
  1. To take forward Parish Council actions plans and projects and seek appropriate grants.
  1. To action emails as required and circulate to relevant councillors.
  1. To ensure all Parish notice board information is current and correct and Council meeting information is displayed at a timely point in line with regulatory requirements.
  1. To keep clerk and councillors informed of any incidents and or requirements in the area of the Parish and consult with necessary authorities or contractors as necessary.
  1. To undertake the updating of any Health and Safety Regulation requirements as requested.
  1. To undertake other general office duties commensurate with the post including, monthly invoicing, receiving payments, input of finance information, administration of hall bookings and communication with hall users. Maintain a sufficient stationery stock and order as required. Also, any cleaning products requested by the Caretaker.

Additional information

  1. The post holder will cover for the Clerk to the Council for agreed holiday and sickness cover.
  2. To cover Council/committee meetings as and when required to take minutes etc.
  3. The post will require some lone working at certain periods throughout the year.
  4. Additional hours may be required when supporting council organised events by agreement. Payment at set hourly rate will be paid.

PERSON SPECIFICATION

Attributes Essential Desirable

 

EXPERIENCE Proven experience in an administrative role.

Project support role.

 

 

Knowledge of applying for grants
QUALIFICATIONS/TRAINING Good standard of education to GCSE level or equivalent as a minimum.

Proven working administrative knowledge required (qualifications/previous work experience) and use of Microsoft Office Suite.

Email communication.

Knowledge of Finance packages/online banking.

 

Customer Service qualifications/ training.

 

 

ABILITIES To communicate well as a team member and ability to work on own initiative within the boundaries of the post and work with other outside organisations.

 

Demonstrate good organisational and imaginative skills to support council projects.

 

Confident using multiple IT software systems, social media platforms and WordPress.

 

Experience and knowledge in organising events.
